Ramon Stoppelenburg’s Expedition Kilimanjaro is conducted in accordance with the travel terms and conditions of trade association General Association of Travel Companies (ANVR) in The Netherlands. Ramon Stoppelenburg is your tour operator.
You are responsible for providing the necessary information to establish and execute a correct reservation. This includes, for example, providing the correct name, address, place of residence, date of birth, nationality, etc. You are also responsible for ensuring that you are in possession of the correct travel documents (passport, visas, vaccination certificates) when you travel. The tour operator provides general information for this purpose via the website www.expeditionkilimanjaro.com.
The tour operator will, in general, provide you with confirmation within two (working) days from when you make a reservation.
The daily programmes of this trip are written out to give as good an idea as possible of the planned interpretation of the trip. However, there are factors that may affect the execution, such as blocked roads, bad weather or equipment breakdowns.
If certain circumstances arise, the tour operator expressly reserves the right to have changes made to the itinerary, daily schedule, accommodations, transport or excursions. In such a case, you can of course rest assured that the tour operator will do its utmost best to maintain the quality and character of the expedition as much as possible.
Eventual additional travel and accommodation costs incurred as a result of excessive force majeure may be borne by the participants. Should any of the accommodation offered unexpectedly fail to agree, the tour operator will reserve equivalent, alternative accommodation for you.
For expedition routes or activities in which the tour operator does not mediate directly, the tour operator does not bear any responsibility.
The website may contain references to other websites. This is purely informative or to give a broader picture of the content of the expedition. The tour operator is never responsible for the content of websites other than that of Expedition Kilimanjaro itself.
Cancellation policy
Cancellation of an expedition (after a fully paid booking) by the traveller must be made known to the tour operator of Expedition Kilimanjaro immediately, in writing via email by the traveller.
Cancelling a trip incurs the following costs:

Cancellation of the trip up to 60 days before departure costs 25% of the trip price.

Cancellation of the trip between 60 and 30 days before departure costs 50% of the travel sum.

Cancellation of the trip between 30 to 20 days before departure will cost 75% of the fare.

Cancellation of the trip within 20 days before departure will cost 100% of the travel fare.
In order to cover the financial risk of cancelling a trip, it is always advisable to take out cancellation insurance with your travel insurance of choice.
The tour operator may be forced to cancel a trip if there are circumstances that could affect the quality, execution or safety during the trip.
In the event of cancellation of a trip, the tour operator is obliged to inform the traveller immediately, stating the reasons. If the tour operator cancels a trip, he cannot be held liable for financial losses incurred or loss of enjoyment of the trip by the traveller if the cancellation is the result of abnormal and unforeseeable circumstances which are independent of the will of the person invoking them and the consequences of which could not be avoided despite all precautions. These include, for example, sudden local political tensions, a pandemic or natural disasters.
No liability is accepted for costs already incurred by the traveller, such as insurance premiums, booked flight(s), visa costs, vaccinations, etc.
The tour operator accepts no liability for damage and/or injury caused to the traveller, irrespective of who caused it and irrespective of the cause. Nor is the tour operator liable for loss, theft or damage to property, including money.
Obvious errors and mistakes in the travel programme do not bind the tour operator.
Reservation of changes
The tour operator reserves the right to adjust the prices of the trips offered if the Tanzanian VAT regulations currently in force change. Furthermore, there is also always the possibility that itineraries may have to be changed or other changes take place during the course of a year that result in a planned expedition not being able to be carried out.
Local circumstances and the adventurous nature of Expedition Kilimanjaro may result in minor or major adjustments having to be made to the travel programme and/or itinerary before or during the trip. The tour operator undertakes to limit any adverse consequences for the traveller as much as possible and to look for alternatives that keep the nature of the original programme intact as much as possible.
In case of changes prior to departure, the traveller will be informed immediately, giving reasons. Furthermore, in all cases the traveller is expected to be informed of local conditions in general.
In principle, changes do not affect the travel price and the traveller is not entitled to compensation for changes that have been made as a matter of necessity by the tour operator.
The traveller can change any changes to the travel package at any time.
The traveller may reject any changes (including changes to the fare), but only if there is no reasonable alternative and the change would cause him/her more than minor inconvenience. In the event of a rejection, the tour operator can cancel the travel contract with the traveller, in which case the cancellation conditions apply.
Prices
All prices on this website are per person and in US dollars (the leading currency in Tanzania). Visa fees, vaccination fees, insurance, security taxes and personal expenses are never included in the trip price unless otherwise indicated. All prices are subject to change and obvious errors.
Invoicing
After confirmation of the reservation, the traveller will receive an invoice confirming the details of the booking. This invoice is also the booking confirmation for the traveller. The traveller should check this booking confirmation and the names of possible other participants himself. The total trip fee must be paid no later than 90 days before the start of Expedition Kilimanjaro, after this time the booking automatically expires and was without obligation.
A Kilimanjaro Expedition is not fully booked until payment has been made. A one-off administration fee of €15 is charged on each booking (included).
Travel documents
After full payment, the traveller will receive digitally the vouchers for the hotel and expedition (as PDF files, you may need the PDF Reader for this), which should be printed out on arrival at the travel destination. It is advised to bring your vouchers in duplicate.
Insurances
Travellers are required to carry travel insurance while travelling. Cancellation insurance is highly recommended. Should the traveller already have continuous travel or cancellation insurance, he should check whether it covers “mountain sports”. Most continuous cancellation insurance policies only cover a limited amount, often not more than €1,500 per person per trip!
Visa
The traveller is responsible for obtaining the necessary travel visa for Tanzania (and perhaps a Kenyan transit visa, if you travel to Tanzania via Kenya).
You can apply for an eVisa online, you can arrange your Vis On Arrival in Tanzania or you can arrange it in advance at a Tanzanian embassy or consulate. Once you have for your visa, you are allowed to travel in the country for 90 days. The visa takes effect the moment you enter the country.
In Kenya no longer offers a visa-on-arrival. For this, you must apply for a transit visa online before arriving there.
In case of emergency
Always contact the emergency call centre of your own insurance company first. Furthermore, travellers can also contact the tour operator or local operators on site.
Complaints
Any complaints about the performance of the travel agreement should be made in writing at the destination, where the reason for complaint arose, to the local operator.
